Expert Q&A

7. What happens when the booking system times out after creating the appointment?

Trace Margin research deskSection 06Page 10 of 24Last updated

Proposed lead: Kwindla Hultman Kramer, with the integration engineer.

Why it matters: Open Dental documents separate creation and retrieval operations. Our proposed procurement test focuses on the gap between an attempted system write and reliable confirmation of its result. (opendental.com)

Question to put to the expert:

The appointment is created, but the response never reaches the voice agent. How do you prevent a duplicate booking, a false failure message or an unsupported assurance that the customer is booked?

A strong answer should cover:

  • Distinguishing confirmed success, confirmed failure and an unknown result.
  • A duplicate-prevention mechanism, such as a supported idempotency key or application-level reconciliation.
  • Read-back verification before retrying an uncertain action.
  • Clear caller wording when confirmation is unavailable.
  • A recovery queue with ownership, urgency and an auditable final disposition.
  • Whether rescheduling can partially succeed and leave both appointments active—or neither active.

These are proposed acceptance tests, not claims that every scheduling API provides the same controls.

Evidence to request: A fault-injection demonstration, request identifiers, system logs and resulting records.

Follow-up: Disconnect the integration immediately after a successful write. Show us the recovery rather than describing the happy path.
