Prepare a one-page workflow brief and a small evidence pack before contacting suppliers. That makes the demo a test of your requirements rather than a tour of the supplier’s easiest scenario.
Include:
- One workflow and the business owner accountable for it.
- Baseline call volumes, dispositions and existing recovery performance.
- The definition of a successful task and the system that proves it.
- Approved actions, prohibited actions and exception rules.
- Human fallback coverage and the no-answer procedure.
- Data categories, integrations and required risk approvals.
- Representative ordinary, difficult and failure scenarios.
- A common pricing workload for every supplier.
- Pilot stop conditions and the route back to the existing process.
Then ask every supplier:
Demonstrate the correct outcome, show the record that proves it, explain what happens when it fails, and price the whole workflow.
The desk’s proposed tools—such as True Cost per Completed Call, Your-Calls Vendor Trial Builder and Dental Booking Integrity Test Pack—are useful specifications for these artefacts. This document does not represent them as built, tested or available for download.
The final buying rule: choose the deployment that proves useful work at an acceptable total cost and level of risk. “Improve routing first”, “retain human handling” and “do not automate this workflow yet” are valid conclusions.
