After-hours AI call overflow: what to automate first
Question. What should an after-hours agent do first?
Start with capture and routine booking for the next business day, and route anything urgent to a person. The deciding test is whether the on-call handoff is answered.
After-hours overflow is the most defensible first workflow for many service businesses: calls that today reach voicemail are captured, routine requests are booked and urgent ones go to a person. It is also where the handoff is most likely to fail, because the person is asleep.
Automate in this order
- Capture: name, number, address and reason, written to a ticket.
- Classify: routine, urgent or out of scope, using written rules.
- Book routine work into next-day availability.
- Route urgent calls to on-call, with context, and a logged callback if unanswered.
Test the 02:00 handoff
In our synthetic property-maintenance dataset, 9 of 40 on-call transfers went unanswered. Each of those callers heard “transferring you now” and then nothing useful. Test the path at the hours it will be used, and name who is accountable when it rings out.
If nobody owns after-hours fallback, the right answer is “do not automate yet”, not a better prompt.
